DUTIES OF OFFICERS 1 THE HONORARY SECRETARY SHALL: Convene and attend all General Meetings of the Association. Convene and attend all meetings of the Council. Keep proper minutes of all General Meetings and of all meetings of the Council. Conduct and be responsible for all correspondence of the Association, and send out all necessary notices. Compile and keep an up-to-date record of the names and addresses of all members of the Association, together with the serial number, make and caliber of every target firearm licensed for the current year, under the name of each member. Have custody at all times of the key to the Post Office Box of the Association. Obtain import license as required. Immediately on his ceasing to hold office to deliver all books, records, correspondence, and other property of the Association in his possession to the Chairman/Vice-chairman, or other person appointed by the Council to receive same. 2 THE CLUB CAPTAIN SHALL: Be Chief Range Officer, and shall be authorized to make arrangements for duties of Range Officers, subject to the approval of the Council. Prepare the program for the shooting year with approval of the Council. Be stores controller and be responsible for all B. R. A stores, the sale of items to members, the lodgment of monies collected from store sales with the Honorary Treasurer, and to inform Council of stores inventory for re-ordering purposes. Be responsible for all BRA consumables including targets centers, patches, etc., and to inform Council with regard to consumable stores replenishment. Keep the statistical records of shooting of the Association, and to place the quarterly averages on the notice board of the Association. Keep the Holder's Record of all the Association's Challenge Trophies and the relevant winning scores for same. Immediately on his ceasing to hold office, to deliver such books, records, correspondence or other property of the Association to the Chairman/Vice-chairman, or other person appointed by Council. 3 THE AMMUNITION AND FIREARMS OFFICER SHALL: Be responsible for all of the Association's records of ammunitions, and firearms. Co-ordinate the drawing and return of all ammunitions and firearms from the B. D. F Paragon Base and/or the St Ann's Fort, Garrison. 4 THE HONORARY TREASURER SHALL: Be responsible for the collection of all monies and the Range Officer sheets, and deal with them in such manner as the Council may from time to time direct. Keep proper books of account. Be responsible for the preparation of the annual balance sheet, Produce the audited Balance Sheet and the annual accounts for acceptance of the Council before the presentation at the Annual General Meeting. Notify the Honorary Secretary for action by the Council of any unpaid subscriptions or sundry debts, at each meeting of the Council. Be responsible for the payment of all employees of the Association. Be responsible for issuing to all financial members a membership photo-card showing the name of the member, type of membership, date of issue, and bearing the signature of such member and that of the Honorary Treasurer. Record in the Firearms Register of the Association, for each year, the make and calibre, type of firearm, serial number and license number for each firearm, for each member. Immediately upon ceasing to hold office of Treasurer, to deliver all books, records or other property of the Association in his possession to the Chairman/Vice-chairman, or other person appointed by the Council to receive the same. |
